ADMINISTRATIVE ASSISTANT – HEALTH TESTING AND A FUNCTIONAL MEDICINE & NUTRITIONAL THERAPY CLINIC

Position: Administrative Assistant

A great opportunity to gain insight into the day-to-day running of a busy nutrition practice. This role may be particularly well suited to a recent graduate or a practitioner in the early stages of building their own clinic, looking to gain experience in the field while growing their own client base.

Location: Fully Remote (Home-Based)

Job Type: Part-Time, Wednesday and Friday, approx. 10–15 hours/week)

Salary: £15 an hour

About You

You’re a highly organised and sharply detail-oriented individual with a calm, can-do attitude. You thrive in a supportive role and enjoy keeping things running smoothly behind the scenes. Ideally, you’ll have experience in a client-facing administrative role, and a background or interest in nutrition.

You’re comfortable working remotely, have excellent written and verbal communication skills, and can manage multiple tasks efficiently without losing sight of the detail. You’ll enjoy being part of a small but growing team and have a genuine interest in helping others through your behind-the-scenes support.

Your Key Skills

  • Previous experience in an administrative or client support role – minimum 2 years experience essential
  • Excellent organisational skills, keen attention to detail and able to cross reference various sources of information
  • Clear telephone manner
  • An ability to follow company procedures at all times  leading to a good understanding of the purpose & function of company policies and procedures
  • Confident with technology – including email systems, gmail, Google Drive, and online booking tools (e.g. Acuity or similar)
  • Competent at independently working with excel and google documents
  • Happy to learn and work with new systems – such as ‘Air table’
  • Competent navigating and working with various lab portals
  • Clear and professional written and verbal communication
  • Ability to manage your own time, work independently, identify and manage priorities
  • Calm under pressure and able to prioritise tasks effectively
  • Highly attentive to matters of company, customer and client confidentiality and data protection
  • A friendly, helpful, customer/client relations and solutions-focused attitude

About the Role

You’ll be supporting a busy and fast-paced nutritional therapy and functional medicine clinic and a health testing business.

Your responsibilities will include:

  • Monitoring and responding to customer and client emails
  • Supporting test order processing and result management
  • Managing bookings and follow-up reminders
  • Organising client documents and keeping records up to date
  • Liaising with practitioners and lab companies when needed
  • Helping streamline and improve admin systems as we grow
  • Taking and responding to phone calls

This is a fully remote role that offers flexibility and the opportunity to work within a purpose-driven, health-focused environment. It’s ideal for someone who enjoys varied tasks, clear structure, and working with people who care about making a difference.

You will feel confident communicating via Whatsapp, as a first point of contact, and also via telephone, with other team members. You will understand the need for flexibility in your role and be happy to take on new tasks as and when required.

You will also be happy to support the team on a day to day basis being able to help cover absences, planned and unplanned.

Start date

While the right candidate for this role is our priority, we are aiming for an early July 2025 start date and we are looking for somebody that can also provide extra holiday cover from the 12th to 23rd of August
